Why we hold your data?
As a landlord and agent it is a legal requirement to hold this data and gather this information in order to process your tenancy or contacts. In some cases to apply for tenant reference checks. This would also cover data processing around the Right to Rent legislation our for example to pay your deposit into The DPS, The Deposit Protection Scheme.
Who we share your data with?
In some instances we may need to share your data with a company named Let HQ, which is a tenant-referencing agency.
Do we hold any sensitive information?
We do not hold any sensitive information about you. Sensitive information relates to things like your political view, religions views and blood type for example.
What data do we hold?
We currently hold contact details for our customers; this could include details such as your name, addresses, email addresses, telephone numbers, passport copies, landlord references, and employment references.
Where we store it?
We store all your personal data on secure servers, personal computers and mobile devices, and in secure manual record-keeping systems. Our data is held on Dropbox and the Cloud and these are based on servers in the EU.
If your tenancy is successful with us then your data is held with a Company called HelloSign where you AST is kept on the Cloud. We also use Dropbox, which has servers in the EU to store your information.
How and when do we remove your data?
If you apply for a tenancy with us and it fails we destroy ALL your records after 1 year. If your application is successful then after your tenancy has expired with us we will keep your records for up to 6 years after which the Data Controller will erase all your data from all our servers and databases and shred any data held on paper. After you leave us or your tenancy has expired we keep your data for 6 years after which it is completely destroyed.
Third Party Marketing
Your data will only be used by UCF and ELP and will not be passed on to any other third party for any time of marketing what so ever.
